POSITION SUMMARY
The Apprentice Administrative Assistant in charge of Corporate Social Responsibility supports the General Manager and facilitates his/her duties, handling correspondence drafting, preparing meeting minutes, and drafting response letters to clients. He/She manages the company’s incoming mail and distributes it to the relevant departments. He/She is also responsible for the Corporate Social and Environmental Responsibility aspects, such as relationships with partner charities, actions in favor of environmental protection, organizing potential internal events, and ensuring communication within and outside the hotel regarding these initiatives.
SPECIFIC MISSIONS
- Administrative Management:
- Prepares, drafts, and distributes the minutes of meetings held by the General Manager to the relevant stakeholders;
- Manages incoming and outgoing correspondence, records the date of receipt on each item, and distributes correspondence to the appropriate departments;
- Prepares letters, emails, memoranda, presentations, spreadsheets, and databases for the General Manager;
- Handles incoming calls for the General Manager in his absence and takes messages;
- Prepares and processes purchase orders for all departments;
- Provides administrative follow-up for the different departments;
- Oversees brand internal audits as well as legal and environmental audits;
- Ensures follow-up on guest feedback and manages the allocation of rewards to the employees mentioned;
- Represents Management during duty shifts on certain weekends to ensure the smooth operation of the property.
- Corporate Social and Environmental Responsibility:
- Stays continuously informed about environmental legislation to propose corrective or innovative actions within the company;
- Acts as an active member of the Business Council France;
- Coordinates the company’s CSR efforts and, where possible, shares these with partner hotels;
- Proposes, plans, organizes, and executes internal and/or external actions or events in support of charities or environmental protection;
- Implements and monitors the property’s CSR policy (environment, social, ethics, governance);
- Leads a CSR action plan in collaboration with departments (waste sorting, energy savings, responsible purchasing, staff awareness);
- Organizes internal awareness initiatives: environment days, training sessions, eco-responsible challenges;
- Produces CSR reporting, annual reviews, and documentation linked to labels or certifications (Green Key, ISO, etc.);
- Ensures regulatory monitoring and promotes best practices in sustainable development and responsible hospitality.
- Procedures and Standards:
- Safeguards the security and confidentiality of client and colleague information;
- Maintains confidentiality of company equipment and data;
- Complies with all company and/or departmental procedures.
- Communication:
- Addresses colleagues and clients using clear, appropriate, and professional language;
- Assists colleagues and ensures their clear understanding of tasks;
- Communicates with colleagues about service needs or incidents discreetly, away from guest areas;
- Human Resources
- Establishes and maintains an open and efficient working relationship with all team members;
- Utilizes all training tools to ensure proper training and onboarding of new associates and monitors follow-up;
- Contributes to strict compliance with payroll budget and ensures overall management of vacation balances, in collaboration with HR and Finance;
- Conducts annual performance reviews for all employees under his/her responsibility, ensuring timely completion and goal-setting for each team member;
- Ensures completion of all mandatory internal training and Marriott International virtual training for self and team;
- Ensures that hotel and/or group standards and procedures are consistently applied, and that any disciplinary measures are documented and compliant with company and/or group policies and regulations;

Offer details:
Status: Apprentice – HCR Collective Agreement – Niveau I, Echelon 1
Probation period: 45 days of actual work in the company (according to French labor law)
Remuneration: In accordance with the legal apprenticeship scale, ranging from €1,004.82 to €1,766.92 gross per month, depending on age and year of the contract (as of January 1, 2025).

Annual Vacations : | 25 days (in proportion of the time of presence). |

Participation: | You are also eligible, on a pro-rata basis according to your actual presence time, for the statutory profit participation scheme, which is intended to allow employees to share in the company’s results. |
