Hourly Rate: $21.00 (Graduate)
OVERVIEW OF DEPARTMENT:
The Department of Employment Operations is responsible for overseeing the full spectrum of hiring and workforce planning activities across New York City Transit, MTA Bus, and related agencies. The unit ensures that all recruitment, examination, and onboarding processes align with agency-wide staffing goals, budget approvals, and civil service regulations. The department works collaboratively with multiple divisions including Exam Development, Forecasting, HR Business Partners, and Training to manage candidate flow from initial application through final appointment. This includes supporting both civil service and provisional hiring pipelines, coordinating with OMB for position approvals, and tracking progress toward quarterly and annual hiring targets.
The intern will assist the Exams/Employment Center by supporting candidate processing, data entry, and reporting activities. Their responsibilities include updating candidate statuses, organizing documentation, and coordinating with various departments to meet ongoing hiring demands and class scheduling needs. This assignment directly supports the MTA’s mission to maintain adequate staffing levels across critical operational titles. By identifying where candidate fallout occurs and tracking individuals who pass exams but are not hired, the intern’s work helps streamline the hiring pipeline, reduce delays, and improve overall efficiency. Their efforts enhance data accuracy and interdepartmental coordination, ultimately enabling the MTA to meet service and workforce demands more effectively.
RESPONSIBILITIES:
- Review candidate data to identify where fallout occurs during the hiring process.
- Track candidates who passed exams but did not progress to appointment.
- Update and maintain Employment Center tracking spreadsheets and databases.
- Compile summaries of candidate flow to support weekly hiring and vacancy reports.
- Assist with data cleanup and verification to ensure accuracy across PeopleSoft and internal trackers.
- Coordinate with Forecasting, Exams, and HR Business Partners to reconcile candidate lists and timelines.
- Support preparation of presentations or reports highlighting hiring trends and bottlenecks.
- Participate in meetings and discussions to share findings and propose process improvement ideas.
PROJECTS:
- Candidate Fallout Analysis: Identify where candidate drop-offs occur throughout the hiring process by reviewing data from exam results, medical clearances, and class scheduling stages.
- Post-Exam Tracking: Maintain detailed records of candidates who passed their exams but did not advance to appointment, helping identify patterns and potential process improvements.
- Department Coordination Initiative: Support communication between Forecasting, Exams, and HR Business Partners by organizing candidate data and summaries to align hiring timelines with staffing needs.
REQUIRED QUALIFICATIONS:
- Proficiency in Microsoft Office Suite is a must.
- The candidate should possess organizational, analytical and communication skills.
- The candidate should be able to work well under pressure and prioritize tasks effectively.
- The candidate should have a keen eye for detail and be able to work independently while being an active team player.
REQUIRED EDUCATION:
- Matriculated in a graduate program in good standing with at least 2.8 GPA
- Major(s) Preferred: Statistics, Data Analytics, Human Resources Management, Industrial Organizational Psychology, or related field.
