JOB SUMMARY
We are seeking a detail-oriented and analytical University Intern to support the financial operations of the City's Telecommunications Department. The intern will assist with invoice processing, vendor communications, data validation, financial analysis, and reporting. This role is ideal for a student with strong Excel skills and an interest in finance, data analytics, or telecommunications.
ESSENTIAL FUNCTIONS
Invoice & Vendor Management
- Review and process incoming invoices from a variety of city vendors daily.
- Match and process invoices in Workday, ensuring accuracy and timeliness.
- Contact vendors to correct invoice discrepancies and follow up as needed.
- Investigate historical invoices using vendor and City systems to confirm proper payment.
- Resolve issues related to delinquent accounts involving thousands of dollars over a six-month period.
- Communicate with vendor representatives via email to resolve payment discrepancies and ensure timely responses.
Billing & System Reconciliation
- Review billing accounts in WinBill to ensure correct departmental charges for equipment.
- Compare records across WinBill, Workday, and Mitel systems to verify billing accuracy.
- Investigate and resolve error reports when discrepancies arise.
- Collaborate with the Chief of Fiscal Services to ensure accuracy in Month-End Closing procedures.
Financial Reporting & Analysis
- Deliver weekly financial reports and billing summaries to supervisors.
- Review telecommunications billing reports to identify potential cost-saving opportunities.
- Analyze usage and financial data and convert them into statistical measures and insights.
- Develop and present visual reports using graphs and charts to illustrate trends, such as:
- Trouble ticket activity (received vs. completed)
- Open vs. closed invoices and requisitions
- Circuit usage trends (VoIP, analog, DSL, 800 numbers)
MINIMUM QUALIFICATIONS
- Current university student pursuing a degree in Finance, Accounting, Business, Information Systems, or related field.
- Strong proficiency in Microsoft Excel (including pivot tables, VLOOKUP/XLOOKUP, formulas, and data visualization).
- Strong attention to detail, organization, and analytical thinking.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks and meet deadlines.
- Comfort working with confidential or sensitive financial data.
KNOWLEDGE, SKILLS AND ABILITIES
- Familiarity with Workday, WinBill, or similar financial and billing systems.
- Experience or coursework in telecommunications, billing operations, or public sector finance.
- Knowledge of statistical data analysis or business reporting tools (e.g., Power BI, Tableau).
LEARNING AND DEVELOPMENT OPPORTUNITIES
- Hands-on experience with public sector financial operations and telecom billing systems.
- Exposure to enterprise systems (Workday, WinBill, Mitel).
- Strengthen skills in data analysis, vendor management, and financial reporting.
