Job Description

Administration

  • Create new file of new joiners and maintain documents of all active colleagues
  • Conducts T&C induction for new colleagues
  • Prepare ID cards
  • Distribution of Heartist Cards
  • Maintaining records of Passport & Residence visa in shared drive
  • Maintaining and updating T&C notice boards
  • Prepare and issue monthly colleague newsletter
  • Ensure tracking and renewals of visas and Passport of colleagues
  • Liase with Coordinators for renewal of visa and Passport of colleagues
  • Maintain systematic order of the T&C shared drive and create process maps for all T&C processes
  • Assisting colleagues with admin / document requests and processing all T&C related letters and certificates for colleagues
  • Responsible for processing Future log orders for the T&C team
  • Assisting colleagues with their day to day queries and questions
  • Any other adhoc requests by Talent & Culture Manager / Director of Talent & Culture

Welfare & Evets

  • Planning and preparing Raffles Connect (scheduling, invitations, presentations, BEO’s, decorations
  • Responsible for Colleague of the Month/Supervisor of the Quarter/Leader of the Quarter/ processes (nominations, certificates, presentation)
  • Tracks winner of Colleague of the Month, Supervisor of the Quarter, Leader of the
  • Organize the monthly MD’s lunch and breakfast events (Booking the venue, send out the list etc.)
  • Responsible for assisting and organizing monthly engagement activities with the team
  • Update and share Events Calendar on monthly basis
  • Assist with creative poster campaigns and all events organized by the T&C Department

Recruitment

  • Assist with scheduling of interviews for level 1 positions
  • Conducts reference checks for level 1 positions
  • Liase visa cancellation for expected new joiners

Qualifications

  • Currently pursuing a Bachelor’s degree in Human Resources, Business Administration, Psychology, or a related field
  • Strong interest in HR functions such as recruitment, onboarding, colleague engagement, or HR compliance
  • Excellent written and verbal communication skills
  • Strong organizational skills and attention to detail
  • Ability to maintain confidentiality and handle sensitive information professionally
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Ability to work collaboratively in a team environment as well as independently
  • Eagerness to learn and take initiative in a fast-paced HR environment
  • Prior internship or relevant coursework in HR or administrative work is an asset, but not required
