General Summary

  • The Residency Program Coordinator is responsible for the daily management and operational support of the residency training program. This role ensures compliance with Accreditation Council for Graduate Medical Education (ACGME) standards, coordinates resident and faculty activities, manages program documentation, and supports the Program Director in delivering a high-quality educational experience for residents.

Essential Duties and Responsibilities

  • Coordinate recruitment, application review, interview scheduling, match processes, onboarding, orientation, and graduation for residents.
  • Maintain program records and documentation in compliance with ACGME, institutional, and specialty board requirements.
  • Track, prepare, and submit required accreditation reports and assist with program evaluations, annual reviews, and quality improvement initiatives.
  • Develop and maintain resident rotation schedules in collaboration with faculty, Program Director, and affiliated sites.
  • Serve as primary contact for residents and faculty regarding program policies, scheduling, evaluations, and administrative needs.
  • Maintain accurate records for duty hours, evaluations, scholarly activities, and clinical experiences; generate reports as required.
  • Facilitate communication and coordinate logistics for educational conferences, journal clubs, residency program events, and GMEC meetings.
  • Support faculty with scholarly activity tracking, didactic scheduling, credentialing, licensing, and board exam preparation logistics.

Education

  • Bachelor’s degree preferred; equivalent experience considered.

Work Experience

  • Prior experience in graduate medical education, higher education, or healthcare administration strongly preferred.
  • Knowledge of ACGME accreditation processes desirable.

Certification/License

  • A valid Driver's license and car insurance are required. Must have reliable transportation.

Mental/Physical Requirements

  • High levels of communication skills, concentration, attention to detail, ability to process and interpret diverse information while working simultaneously on several projects. Must be able to handle stressful situations. Must be able to transport self throughout the facility. Must be able to lift or carry up to 25 pounds.


Working Conditions

  • Standard office conditions. Some overnight travel is required.
