Records Shelf Survey Assistant / Intern
Location: Baltimore City Archives and Records Management Center
Department: Department of Legislative Reference – Records Management Division
Type: Internship (Part-time, On-site)
Supervisor: City Records Management Officer
Overview: The Baltimore City Archives and Records Management Center is seeking an intern to assist with a comprehensive shelf survey of boxed records stored at the Records Center. This project supports ongoing efforts to verify, update, and maintain accurate inventory records for City agencies, ensuring proper long-term preservation and access to official materials.
Responsibilities:
- Conduct physical shelf surveys to verify box locations against the current inventory database.
- Identify and document discrepancies such as missing, mislabeled, or relocated boxes.
- Rehouse records as needed into appropriate record storage boxes or archival containers to ensure proper preservation.
- Assist with labeling, shelf organization, and maintaining accurate location tracking.
- Record updated information into spreadsheets or inventory management systems.
- Collaborate with Archives and Records Management staff to ensure safe and efficient handling of materials.
Qualifications:
- Attention to detail and strong organizational skills.
- Ability to lift and move standard record storage boxes (up to 50 lbs.) safely.
- Comfortable working in warehouse or storage environments, including tasks that involve working at heights and the safe use of ladders and work-assist vehicles.
- Interest in archives, records management, history, or library science preferred.
- Familiarity with Excel or other data-entry tools is a plus.
Learning Outcomes:
- Gain hands-on experience in archival inventory control, records management, and preservation practices.
- Learn how large-scale records storage facilities are organized and maintained.
- Contribute directly to improving access to the official records of Baltimore City government.
Schedule:
Flexible daytime hours, Monday through Friday. Minimum commitment of 8–10 hours per week preferred.
