Overview

Southeast Urogyn, a practice partner of Together Women's Health, is seeking a full time Clinical Office Coordinator to join their growing medical team.

The Clincial Office Coordinator is responsible for providing administrative and clinical coordination support to ensure efficient daily operations. This role supports the providers, clinical team, and specialty programs (such as the Continence Program) by managing scheduling, patient communication, data tracking, and back-office workflow coordination.

Responsibilities

  • Manage and maintain the Axonics Portal, ensuring accurate documentation, patient tracking, and coordination with providers.
  • Provide administrative support for The Continence Program, including:
    • Scheduling and coordinating patient appointments
    • Responding to patient messages and inquiries
    • Supporting in-person seminars and outreach events
    • Providing additional administrative/clinical assistance as the program grows
  • Work assigned clinical inboxes to ensure timely follow-up on patient messages, results, and provider requests.
  • Collaborate with the virtual call center team to resolve escalated patient or scheduling needs.
  • Assist with onboarding new patients to specialty programs or devices (Axonics, PTNS, etc.).
  • Prepare and maintain reports, correspondence, and records as directed by the Practice Manager or providers.
  • Support data entry, tracking, and quality improvement initiatives within the EMR (Athena).
  • Assist with operational projects and cross-coverage as needed to ensure smooth clinic flow.
  • Perform additional duties as assigned by the Practice Manager or Regional Director.

Qualifications

Required Knowledge, Skills, and Abilities:

  • Demonstrate knowledge of medical terminology
  • Demonstrate strong organizational skills and attention to detail
  • Proficient problem-solving skills
  • Ability to work independently and in a team environment.
  • Ability to effectively communicate with patients and build rapport and relate to all people
  • Proficient in the use of Microsoft products, Including maintaining, tracking and entering data in database.

Required Education and Experience

  • High School Diploma or GED required
  • Experience in a medical office setting and/or graduation from a certified Medical Assistant program is required
  • Certified Medical Assistant with Women’s health experience preferred. 
  • Experience with EMR system(s) and medical terminology is required
  • 2 years of experience in customer service, scheduling, and/or administrative support duties

 Physical Requirements:

  • Physical requirements can vary. These must be reviewed with management. However, in general, the position requires the following physical activities:
      • Ability to lift minimum of 2 pounds to a maximum of 20 pounds unassisted; able to sit stand, stoop, walk, stretch, reach frequently; moderate range of body motions.
      • Prolonged periods of sitting at a desk and working on a computer.
